For our customer a big pharmaceutical company in Basel we are looking for a highly qualified Administrative Assistent
Background
For a planned backfill of maternity leave, the department is looking for a backfill support. Ideally they would like to keep the candidate as further support.
This person needs to have previous experience with Google Applications and good IT knowledge. Preferably, this person has first experience with working in a global & multicultural environment.
Soft skills are highly important for this role. We need someone who is a good team player and has a „can do“ attitude and problem solving mindset.
Tasks & Responsibilities
* Manage group agenda, c-Suite (Jamboard, Trello board, gSuite) and action items for the meetings
* Global meeting organization worldwide in co-operation with the in-house travel centre, other Roche locations and/or external parties if needed
* Organize teleconferences and videoconferences as well as ordering supplies, catering etc.
* General administration tasks and act as a contact person for general requests involving the team (such as office movers, office set-up, office supplies etc.)
* Keep databases and team sites up-to-date, as well as team and other stakeholder contact lists and filing information
* Organize and co-ordinate of internal and external meetings as well as being involved in preparation of offsite meetings.
* Support Team members (global, mostly for team members located in SSF)
* Support HR processes such as interview organisation and onboarding of new employees, assistance to new employees with the onboarding programme
* Deputize for absences of the team assistants
* Participate in the development of structured processes, procedures and subprojects
* Coordinate with the global assistants team, ensuring that goals and objectives are met
* Maintain knowledge of processes relating to HCP engagement and adhering to these processes
Must haves:
* Min. a commercial Diploma or similar
* Experience in large companies, global & multicultural
* Good knowledge of IT tools and Google Suite
* Good communication skills
* Is self-motivated and proactive with a very high degree of reliability
* Is autonomous, structured, and goal-oriented working methods and a good team player
* Professionally represent the company towards internal / external stakeholders and business partners, act on behalf of the company and comply with legal / compliance requirements.
* Fluent in English, German is a plus
* A can-do, positive mindset with creative new ways of working attitude to resolve topics

* already experience with HCP engagements
