For our customer a big pharmaceutical company in Basel we are looking for a highly qualified Administrative Partner

You will be working within the Manufacturing Science & Technology and Global Engineering group (PTT) as well as Digital Analytics & Operational Excellence (PTE). As a key strategic enabling function for the Roche Manufacturing network, we support the changing product mix, new modalities and investments for our internal manufacturing capabilities and assets that ultimately bring the Roche pipeline to commercial production to deliver for patients.

The perfect candidate:
You will be a junior administrative business partner with high levels of autonomy and help teams prioritize overall work-plate ensuring balanced support and ensuring the „right“ work gets done in order. You will have profound knowledge of the business and activities of the department and will make good judgments and make decisions based on (business) facts. You become the role model, the coach and catalyst for the network team. Success in this role requires a balance of professionalism, willingness of working in an agile environment and applying an inclusive mindset.

Tasks & Responsibilities:

  • Act as go to person for facility and IT service requests, central office supplies process, and remain up to date for all associated training.
    * Manage financial PO, invoice, vendors, SOWs, and contract processes.
    * Demonstrate professionalism as the internal/external face and liaison of PTT/PTE for stakeholders, partners and recruiting activities.
    * Manage department email distribution lists, print services and shipping/labeling. (manages department gSites, share drives, etc).
    * Has knowledge of lean/agile methodology and tools and uses for continuous improvement and workshop/meeting management.
    * Role models customer centricity by acting with empathy and professionalism to support individual and team needs with appropriate level urgency based on criticality of need (demonstrate discernment and flexibility for unique/non-routine needs and willingness to learn through problem solving)
    * Manage time and effort by actively prioritizing needs and focusing on deliverables through
    completion
    * Demonstrate pragmatic approaches by following defined processes and remaining flexible when needed to ensure business needs are met with high quality and on time
    * Contribute to an inclusive working environment by remaining open and showing respect and consideration throughout all interactions
    * Actively participating in meetings, promoting new ways of working and improvements to work processes, as well as sharing ideas and support amongst colleagues.
    * Contribute and strengthen agile practices within the team, e.g. by taking on occasional scrum master responsibilities, preparing team stand-ups, retrospectives and more

    Must Haves:

  • A Bachelor’s Degree (or equivalent experience)
    * min. 3 years‘ experience working in progressive administrative roles throughout a career in global organizations.
    * Roche experience
    * Gsuite, Concur, MyBuy experience
    * fluent English skills, German is a plus
    * Ability to make independent decisions and problem solve without reliance on precedent or supervisory guidance.
    * Strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting and competing priorities with minimal direction to accommodate the global needs of the company.
    * Exercises exceptional judgment and discretion regarding information, which may be confidential, material and/or non-public.
    * Possess strong organizational skills, managing concurrent projects, prioritizing tasks and managing timelines.
