Background:
Roche Diagnostics (Switzerland) Ltd is the Swiss sales organization for a broad range of in vitro diagnostics (IVDs), which includes innovative tests, analytical system solutions and IT and workflow services. As Administrative Team Assistant Business Support you will be responsible for supporting all employees in the organization, therefore we are looking for an enthusiastic and open-minded personality.
The perfect candidate:
has a completed their commercial training, ideally, they have an understanding of business administration and healthcare policy and have already gained experience in an administrative role in the pharmaceutical industry or in a similar field. They are open to learn new things and willing to learn new tasks. Integrity and trust are important to them and they value independent, conscientious work.
You have a quick grasp of concepts and work in a team with interpersonal skills in a results-oriented manner. A high level of initiative, determination, above-average social and communication skills characterize the candidate.
Tasks & Responsibilities:
* Scheduling and coordinating onsite/offsite meetings and/or larger events
* Coordinating domestic/international travel
* Create/co-create and channeling teams‘ communication and/or materials
* Coordinating and managing department/functional interview scheduling, office moves, office supply management and vendor relationships
* Independently manage HCP & HCO administrative support with internal and external stakeholders
* Provides support on editing and formatting executive-level presentations, reports and other legal and business documentation, compiles highly confidential business and financial information if required
* Partners flexibly with other teams based on demands and with other assistants on a routine basis.
* Demonstrating flexibility, adaptability and positive demeanor in the face of change; provides back-up support to teams outside of own work area and across departments, as necessary
* Promotes new ways of working, improvements in work processes and fosters an exchange of ideas and support among colleagues
* On-/offboarding activities (incl. farewell organization acc. to internal guidelines)
* Creating and submitting purchase orders and compiling expense reports
* Purchase orders and vendor management as defined
* Time data management (corrections, piquet entries, general inquiries)
* Access management
* Organization/Procurement of employee giveaways
* Ordering of office supply as needed
* Support specific project work on special request
* Other duties as assigned by head of business support
* Provides back-up support to head of business support/executive assistant
Must Haves:
* Commercial training or similar education
* 3-5 year experience in administrative activities
* Good German & English skills in written and spoken, are necessary, French or other languages are a plus
* high IT affinity (Google, Microsoft Office, Gsite, etc.)
* Organizational talent, proactiveness, independent and structured way of working, enthusiasm, reliability and discretion, excellent communication skills and sociability, problem-solving orientation, quick comprehension, forward thinking
Attention: For this position we are searching for a highly flexible person. It could be that the initial work pensum from 100% will go down to 60% – depending on workload.
