For our customer a big pharmaceutical company in Basel we are looking for a highly qualified Global Administrative Business Partner

Background:
pRED Business Operations is recruiting for an Administrative Business Partner to join the Global Business Partner Administrative Network. In this role, you will work for a variety of stakeholders receiving requests through a shared global mailbox. The network currently supports functions: Data & Analytics, Business Operations, Communications and the Innovation and Enabling Office.

The perfect candidate:
The perfect candidate has an administrative background with at least 5 years working experience in the field. The candidate possesses technical affinity in software programs and is fluent in both English and German in writing as well as in speech. Lastly, the candidate is comfortable in working in a fast-paced agile and global environment.

Tasks & Responsibilities:

  • Collaborating with our stakeholders to manage business requests in conjunction with peers in the Admin Network.
    * On boarding and off boarding of new internal and external employees, tracking and facilitation of requests to completion, troubleshooting and proactive decision making to keep the process moving ahead is essential.
    * Organizing interviews working closely with our recruitment partners and global Admin Managers
    * Coordinating and facilitation of internal and external meetings.
    * Planning and managing logistics for conferences and meetings (venue, infrastructure, documentation, catering, providing advice and support to internal and external vendors and participants).
    * Technical support with meeting tools, such as Pollev, Breakout rooms.
    * Supervising vendor invoices and/or reimbursements in MyBuy.
    * Supporting the team members with regard to our time registration system (JAZ).
    * Updating distribution lists, calendars, gSites and other common platforms.
    * Participation in global ad hoc assignments, projects and tasks as needed

Must Haves:

  • Secretarial/business/office management certification/qualification
    * Min. 5 years Industry experience preferably in pharma working at a senior level
    * Technical affinity, proficiency with Google suite, MS Office, Zoom as well as an interest in adapting new operational systems. A level of comfort is necessary as well as the ability to demonstrate the expertise in the mentioned programs
    * Fluent in written and spoken German and English [min. C1]
    * Agile & global environment, ability to work in real time, comfortable with fast paced environment
    * Excellent time management & organizational skills with proven abilities to work independently.
    * Strong communication and customer orientation, team player attitude, a strong sense of confidentiality, impeccable interpersonal skills
    * Self-motivated and proactive with a very high degree of reliability
    * Creative and innovative mindset

Nice to Have:
Previous Roche experience preferred:
o Demonstrating efficiency and experience using Roche systems
o Familiarity with policies and procedures, providing the ability to ensure compliance across requests and tasks.
