Project Admin Assistent (f/m/d) – SharePoint / ARIBA / MS Office / English / German


Project:
For our customer a big pharmaceutical company situated in Basel we are searching for a highly qualified Project Admin Assistent (f/m/d).

Tasks & Responsibilities:
– Administrative support for Martin Schleuder, Head of SIS DIA Business Process Management Managing complex global calendars including scheduling, resolving meeting conflicts and coordination with other teams setting up
– Support team members in the participation for meetings
– Organization complex international workshops and events Organization business trips and global meetings organized in cooperation with the in house travel center ( Visa manages, expenses for management team members )
– Maintaining content Structure and updates of SharePoint, intranet site, documentation platforms, distributions list, organization charts, contact lists, etc
– Process contractual agreements and invoices via Roche purchase order systems ARIBA, provide ARIBA support for the team
– Support the DIA finance partners providing the accruals for SIS – DIA
– Handling confidential HR issues and coordination of interviews when needed, assisting with the induction of new starters within the group
– Data Maintenance of the team related personal data and hours via Roche JAZ time recording
– Tracking and adherence to project deadlines, draw open matters to successful and timely completion
– Act as a contact person for general requests involving the assigned team, such as moves, office set up/allocations
– As needed providing cover for the other team administrative

Must haves:
– Commercial diploma equivalent / 3 – 5 years of experience in a similar position
– Excellent Google and MS Office Knowledge
– Fluent in English and German, additional language skills are beneficial
– Excellent organization skills and prioritizing
– Can proactively deal with requests on short notice
– You are an outgoing
